How Reignite Movement collects, uses, stores and shares personal information when you use our website, create an account, make a booking, purchase a service, complete a health form, contact us or attend our services.

1. Who we are
Reignite Movement is responsible for the personal information described in this policy. You can contact us at info@reignitemovement.co.uk or by post at Unit 1, Thorngrove Barn, Main Road, Middlezoy, Somerset, TA7 0PD.
2. Information we may collect
- •Identity and contact information, including name, email, telephone number and address where required.
- •Account, membership, booking, attendance and purchase information.
- •Payment transaction information. Card details are handled by our payment processor, Stripe, and are not stored by Reignite.
- •Health, pregnancy and postnatal, injury, allergy, accessibility and participation information where relevant to a requested service.
- •Emergency-contact and, for children, parent or guardian, authorised collector and safeguarding information.
- •Communications, complaints, feedback and customer-service records.
- •Marketing preferences and consent records.
- •Website and device information, such as IP address, browser or device data and cookie or analytics information.
- •Photography and video consent records where applicable.
3. Why we use information
- •To create and manage accounts, bookings, memberships, payments and customer services.
- •To provide requested classes, programmes, events and other services.
- •To support safe participation and respond to emergencies.
- •To administer children's services, safeguarding and collection arrangements.
- •To meet accounting, insurance, legal, regulatory and dispute-management obligations.
- •To protect our systems, premises, customers and staff.
- •To send marketing where we have an appropriate basis, and to respect opt-outs.
- •To understand and improve our website and services where permitted.
4. Lawful bases
Depending on the purpose, we may rely on performance of a contract, legal obligation, legitimate interests, consent, or another lawful basis available under UK data protection law. Health information is special-category data and requires both an Article 6 lawful basis and a separate Article 9 condition. 5. Children
Where children use Reignite services, we may process information about the child and their parent or guardian, emergency contacts, authorised collectors and relevant health or safeguarding matters. We limit access to people who need the information for the relevant purpose.
6. Payments and service providers
We use third-party providers to run parts of our service. These currently include:
- •Stripe — card payments, checkout and recurring membership billing.
- •Reignite Movement booking system — our own booking, membership and account platform, hosted for us by Laravel Forge.
- •Google Analytics and Google Tag Manager — website analytics, where enabled.
- •Meta, TikTok, Microsoft Advertising and Pinterest — advertising measurement tags, where enabled.
- •Email delivery providers used to send booking, account and newsletter emails.
Where required, we put appropriate data-processing arrangements in place with each provider.
7. Sharing
We do not sell personal information. We may share information with service providers acting for us, appropriately authorised instructors where necessary to deliver the booked service, professional advisers, insurers, emergency services, safeguarding authorities or other bodies where required or permitted by law.
8. International transfers
If a service provider processes information outside the UK, we use an appropriate transfer mechanism and safeguards where required.
9. Retention
We keep information only for as long as reasonably necessary for the purpose for which it was collected and to meet legal, accounting, insurance, safeguarding or dispute requirements. Retention periods are documented internally and reviewed rather than keeping information indefinitely.
10. Your rights
Depending on the circumstances, you may have rights to access, correct, erase or restrict personal information, object to certain processing, request portability, and withdraw consent where processing relies on consent. You also have the right to complain to the UK Information Commissioner's Office (ico.org.uk).
11. Marketing
Marketing preferences are separate from acceptance of booking terms or health-data consent. You can unsubscribe from electronic marketing using the method provided in the message or by contacting us.
12. Cookies
Our website uses strictly necessary cookies and, where enabled, optional analytics and advertising technologies. Non-essential technologies are not activated until you have given consent through our cookie banner, and you can change your choice at any time using the Cookie preferences link at the bottom of any page. 13. Security
We use proportionate technical and organisational measures to protect personal information, including access controls appropriate to sensitive health and safeguarding information.
